Refund & Cancellation Policy

We want you to pay only for software that works for your business. This policy explains exactly when money is returned, when credit is given instead, and how cancellation works — in plain language. It forms part of our Terms of Service.
1. Free trial — you are never auto-charged
Every new organisation starts with a 14-day free trial of Core HR (with Compliance bundled) or Compliance standalone. We do not take a card at signup and we do not auto-charge when the trial ends — if you do nothing, access simply pauses. There is nothing to refund from a trial unless you chose to pay before it ended (see §2).
2. 14-day money-back guarantee (first invoice)
If you purchase a plan and decide within 14 calendar days of your first paid invoice that BIMHR isn’t right for you, tell us and we will refund that first invoice in full — no questions, no forms beyond your request. This applies to monthly, quarterly, and yearly commitments, and whether you came from a trial or subscribed directly. The guarantee applies once per organisation, to the first invoice only.
3. Monthly plans — cancellation
Cancel any time from your Plan & Billing page or by emailing support. Your subscription stays active until the end of the current paid month, then stops renewing. We do not pro-rate partial months after the 14-day guarantee window — you keep access for the month you paid for.
4. Quarterly and yearly plans — cancellations and refunds
Longer commitments include free time (quarterly = 2 weeks free; yearly = 2 months free) in exchange for the commitment:
- Within the first 14 days — full refund of the cycle invoice under the guarantee in §2.
- After 14 days — you may cancel before the next cycle renews. We refund the unused portion of the current cycle as account credit, calculated monthly from your next renewal date, minus the free-time benefit already granted. Credit never expires while your account is open and applies to future invoices.
- Refund to bank instead of credit — available on request for yearly plans cancelled within the first 60 days; otherwise credit is our standard, though we may choose bank refund at our discretion.
5. Module downgrades and mid-cycle changes
Removing a module or switching billing periods takes effect at the next renewal; we do not pro-rate mid-cycle downgrades. Upgrades (adding modules or employees) are billed pro-rata within the current cycle. Switching between billing periods never double-charges you — the new period simply starts at your next renewal date.
6. Service failures
If we suspend a paid module for more than 72 consecutive hours for reasons within our control (excluding scheduled maintenance announced in advance and third-party outages), you may claim a pro-rata credit for the affected days regardless of the windows above. Chronic failure (three or more such incidents in one billing period) lets you cancel the affected module with a pro-rata refund to bank for the unused portion.
7. What is not refundable
- Months already fully used beyond the §2 guarantee window (monthly plans).
- The free-time benefit on quarterly/yearly cycles cancelled after 14 days (deducted from credit, per §4).
- Chargebacks filed without first contacting us — these are contested and may result in account suspension; going through this policy is always faster.
- Taxes already remitted on your behalf, where law does not permit their refund.
8. How to request a refund
Email billing@bimhr.com from your account’s owner email (or use in-app support) with your company name and what you’re requesting. We acknowledge within 1 business day and resolve most requests within 3. Approved refunds are returned via the original payment method within 5–10 business days depending on your bank; credits appear on your account immediately.
